Board of Directors Minutes

Minutes of the Meeting May 7, 2007 held at the State Office.

Present: Mike Gove; Brain Talarico; Wim Roset; Mark Yoakum; Dave Edgecombe; Kathy Helm; Jerry McDonald; Dallas DiFiore; Jim Kuntz; Frank Olszewski Bob McDade; Ned Levi; Cindy Field; Donna Outt; Kim DiFiore; Tom Dougherty; Charlotte Moran.

Motion made to accept the meeting minutes for February with corrections, all approved.


Reports
Executive Vice-President: No report. Frank said he was glad to be able to make the meeting.

Vice President Travel: Cup draws for the older age groups will be held Tues. at the state office. Results from all of the cup games will be posted on the website.

Vice President Recreation: There will be a meeting on Wed. May 16 to discuss details about having a Recreational State Cup. Blue Mountain has offered to host the cups at their fields on Oct 20 & 21st. Bob said that many clubs are requesting to host Kohl’s Cups, please get in touch with him ASAP since he has seven scheduled already.

Treasurer: Ned stated that the final accounting report came in two weeks ago. Several changes were made from last year, but everyone seems satisfied with the report.

Registrar: Perkiomen Valley Soccer Club in District 3 was approved for membership by the board. Inter County Soccer League has decided to use a two-year player pass. SEE THE ATTACHED REGISTRAR’S NOTES FOR ADDITIONAL INFORMATION.

SYRA: Cindy reported that there has been no movement on her meeting to re-do the curriculum for the clinics.

Exec. Director’s Report: The Brazilian women’s team was unable to come to the USA to play their games because the NCAA Compliance office couldn’t get their visa’s on time. So far the State Cups have been going fine. The deadline for June Cups has already passed. A total of 91 teams have entered. Charlotte asked that you get the word out to your teams to please cooperate when scheduling their games. Mike Barr wanted to remind everyone about day camps. EPYSA resident camp is July 29th through August 3rd.
This year they are doing an academy for the 12 and 13 year olds. Camp brochures are available. Please encourage your teams to go to the “Gracie Movie” that is coming out. There will be a 2007-2008 USYSA National League for boys and girls U15, and U16, applications are online. Charlotte is researching a new way to get background checks done. The company is called E7, and if it meets everyone’s approval, the fees involved would be approx. $3.50 per check instead of $10.00 that the State charges us. We could also ties this in with Youth Leagues and hopefully make this service available to the leagues themselves. More information will follow.

President’s Report: Tom is re-instating the President’s meeting. It will be held Aug. 12th in Morgantown at 4PM dinner to follow. Please notify your league President’s. They will be notified of the exact location.

District Report:
1. Not present.
2. Most of the spring programs our small sided. For the younger age groups they seem to be working really well. Mike asked if we would consider hiring some young people as PR people to go to the clubs and talk to the members about what EPYSA has to offer the clubs.
3. Not present.
4. YMS will host the EPIC Tournament May 19th. Falls Soccer Club will host a 3v3 tournament on May 11th. An E & D course is being offered for referees in June.
5. Not present.

6. Lehigh Valley tournament deadline is May 6th. The tournament is June 9th and 10th. Allentown area has 25 TOP Soccer Teams. They also have 406 inter city Soccer Start Kids registered.
7. Mark asked if it was required that the registrar collect the birth certificates and SS#’s. Donna told him that the registrar’s just need to see them. Mark asked specific questions to Donna about procedures for storing this information and how long they should keep it.
8. Referee course in Lititz in the next few months. College showcase At Hempfield for boys and girls coming up. Red Rose Classic was a success. 157 teams. Lanco Soccer League is offering a small-sided division for U-11’s.

11. They are in their 3rd week of league play. The number of players registered is about the same as last year. They are also planning on hosting an EPYSA day camp in their area.

17. York Cup Classic the weekend of May 19th. They wanted to let everyone know that they will work with any teams that make it to the State Cup finals. Teams will be given full release from the tournament and full refund.

New Business: We have landed a partnership with NCSAA where the coach can go online and take a coaching course. They will pay $10 and if they pass, EPYSA will reimburse them. The link will be on our website.

State Registrar’s Report 5/7/07

1. 2007-08 Steps 1, 2 and 3 are up and running for online registration. These are:
a. Step 1: Initiate the 2007-2008 Soccer Year
b. Step 2: Risk Management Registration
c. Step 3: RG-1
2. All EPYSA District Commissioners, Alt. District Commissioners, Executive Board, and Office Staff need to complete Step 2.

3. Some problems exist with Internet Explorer 7.0 and pop-up blockers.
a. Hold CTRL and ALT keys down to override the problems.
4. Travel League Registrars meeting was held March 31 at Mechanicsburg.
a. Two-year passes were discussed.
i. InterCounty will run a pilot program using them. Charlotte will develop this with them.
ii. ALL OTHER LEAGUES will run a normal one-year pass program like always.
b. A Challenge Cup poll will be taken by the League Registrars with results reported to Charlotte at our May BOD meeting.
c. Secondary players who release from their primary team in 2007-08 will have 10 days to become primary somewhere.
i. If they are not primary at the end of 10 days, the league in which they are secondary will release them and retrieve their secondary pass.
d. An e-mail address will be required for each player in 2007-08. (family e-mail is fine.) This is done so all players get notified of PS-1 changes involving them.
i. Player who truly has no e-mail address may list a friend’s, teammates, grandparents, etc.
e. 2008’s Travel League Registrar’s meeting will be held at the EPYSA Coach’s Workshop.
5. The Travel Registration system will be up and running in mid-May.
6. Presidents of both Rec and Travel Clubs in 2007-08 will be able to view rosters for their club, but cannot move players or data.
7. Reminder for all District Commissioners and alternates: Go in to epysa.org, Online Registration, 2007-08 Step 2: Risk Management Registration and register yourselves !!!
a. Indicate that you are on the EPYSA BOD.

b. Once your club has completed their RG-1, you can go back to 2007-08 Step 2: Risk Management Registration and click,” I want to add another volunteer position.” Then you can put in your club positions.
